Seven C's of Communication




It is important to have effective communication. Even if we complete the communication cycle, it may lack effectiveness. Which can result as a barrier in whole process. Effectiveness ensures that meaning intended by sender is conveyed to the receiver. For that seven qualities can be useful. They are as under:
        Correctness
        Clarity
        Conciseness
        Completeness
        Consideration
        Concreteness
        Courtesy

1) correctness
Correctness means using language in the right way. That includes grammatical correctness as well as correct information. If there are too many grammatical mistakes than message may mean different from what the sender had intended. If it has incorrect information then receiver will also get incorrect information. To prevent this one can understand the medium used by him/her and compose message accordingly. Also, one can check and verify data, information and other details in the message before sending it.

2) clarity
Clarity demands precision. Sender can use clear indicative words. One can avoid complex words which can confuse the receiver. One also shouldn’t use unknown words or phrases which might cause difficulty to receiver. Using easy language with clarity of meaning makes communication effective.

3) conciseness
Longer message tend to be read incomplete. Sender should try to make message as short as possible without compromising with content. Shorter content is easy to understand as well as remember. So, concise message can stay with receiver for longer time. Sender can avoid repetition of ideas and information. He should also avoid wordy expression when it is unnecessary. To present information in short, on can use charts and tables instead of prose.

4) completeness
Message needs to be complete in order to be understood completely by the receiver. Sender should check whether message is complete or not. It must contain all the information and references it is meant to have. It something is missing than it can cause confusion to receiver. For that sender can use extra information to make her point clear and complete.

5) consideration
Sender always have to consider who is the receiver of the message. Knowing target audience requires basic background research. If receiver’s knowledge level, educational qualifications and social background is known to sender he/she can modify the message accordingly.

6) concreteness
Concreteness means strength. Sender has to be definite and specific in the content of the message. Receiver should immediately clear on intention of sender once he or she receives the message. For that sender can remove contradictory information or ideas and make the message sharp.

7) courtesy
Courtesy means showing politeness in one’s attitude and behaviour towards other. Sender can be polite while conveying the message which will gain undivided attention of the receiver and that will make communication effective.
